List every service your business offers. For each, include: the service name, a 1–2 sentence description, who it’s best for, how long it takes, and any prerequisites. Be as detailed as possible — your AI agent will use this to answer client questions accurately.
List the top 5–10 questions clients ask about your services. For each question, write the exact answer you’d want your AI to give. Think about what prospects ask before booking, what clients ask after booking, and anything you find yourself repeating on every call.
Include your days and hours of operation, any holiday or seasonal closures, after-hours handling (should the AI take a message, book an appointment, or refer elsewhere?), and emergency contact info if applicable.
Provide your written policies so your AI can answer policy questions confidently. Include: cancellation window and any fees, your refund policy, accepted payment methods, deposit requirements, and any late or no-show policies. Copy-paste your existing policy if you have one.
Describe how clients book with you and what to expect after an inquiry. Include: preferred contact method, how quickly you respond, steps in your booking process (inquiry → quote → deposit → confirmation?), and any intake info you need from clients before starting.
List all your pricing packages and rates. For each, include: the package or service name, price (or price range), what’s included, and any add-ons or upgrades. If pricing varies by project, describe how you typically quote.
Tell us about any current or recurring deals your AI should know about. Include active promotions, referral programs, loyalty discounts, seasonal pricing, bundle deals, and any groups that get special rates (seniors, veterans, returning clients, etc.).
List the objections prospects raise most often and how you handle them. Examples: ‘It’s too expensive,’ ‘I need to think about it,’ ‘I found someone cheaper.’ For each, write the response that typically moves the conversation forward. Your AI will use these to handle hesitation naturally.
List words or phrases you always use (your signature expressions, preferred terms), words or phrases you NEVER want the AI to say (jargon you dislike, competitor names, informal language that doesn’t fit your brand), and your preferred tone (formal, friendly, direct, warm, etc.).
What do you say at the end of a conversation that gets people to book? Share your go-to closing lines, urgency triggers that work for your business (limited availability, seasonal demand, price increases), and how you typically wrap up a call when a prospect is ready to move forward.
List 3–5 things that genuinely set your business apart. Think about: your unique process or methodology, credentials or experience, who you specialize in serving, guarantees you offer, turnaround time or availability, or anything clients consistently praise. Be specific — avoid generic answers like ‘great customer service.’
Share 2–4 real client results or success stories your AI can reference in conversations. For each: what was the client’s situation before, what did you do for them, and what was the specific result or outcome? If you have written testimonials, paste them here.
